How To

How do you implement a Quality Management Plan (QMP)?

QMP (Quality Management Plan), introduced in ISO 9001,2008, provides a systematic method for improving processes, products, or services through continuous improvement. It is about how to continually measure, analyze, control, improve, and maintain customer satisfaction.

QMP is a method that ensures good business performance. The QMP aims to improve the process of production, service delivery, and customer relationship. QMPs must include all three elements - Products, Services, and Processes. If the QMP only covers one aspect, it's called a "Process QMP". When the QMP focuses on a Product/Service, it is known as a "Product" QMP. If the QMP focuses on Customer Relationships, it's called a "Product" QMP.

Scope is the most important element in implementing a QMP. Strategy is the second. These elements are as follows:

Scope: This defines what the QMP will cover and its duration. For example, if you want to implement a QMP that lasts six months, then this scope will outline the activities done during the first six.

Strategy: This describes the steps taken towards achieving the goals set forth in the scope.

A typical QMP is composed of five phases: Planning Design, Development, Implementation and Maintenance. Here are the details for each phase.

Planning: In this stage, the objectives of the QMP are identified and prioritized. Every stakeholder involved in the project is consulted to determine their expectations and needs. The next step is to create the strategy for achieving those objectives.

Design: This stage is where the design team creates the vision, mission and strategies necessary for successful implementation of QMP. These strategies are executed by creating detailed plans.

Development: Here, the development team works towards building the necessary capabilities and resources to support the implementation of the QMP successfully.

Implementation is the actual implementation of QMP according to the plans.

Maintenance: The maintenance of the QMP is an ongoing task.

Additionally, the QMP should include additional items:

Participation by Stakeholders is essential for the QMP's continued success. They should actively be involved during the planning and development, implementation, maintenance, and design stages of QMP.

Project Initiation - A clear understanding of the problem statement, and the solution is necessary for any project to be initiated. In other words, they must understand the motivation for initiating the project and the expectations of the outcome.

Time frame: It is crucial to know the time frame for the QMP. A simple version is fine if you only plan to use the QMP for a brief period. For a long-term commitment you may need more complicated versions.

Cost Estimation: Cost estimation is another vital component of the QMP. Without knowing how much you will spend, planning is impossible. Therefore, cost estimation is essential before starting the QMP.

QMPs are not just a written document. They should be a living document. It changes with the company. So, it should be reviewed periodically to make sure that it still meets the needs of the organization.
